Holiday Club Finder helps parents in Surrey and South West London find children’s holiday clubs. This page explains, in plain English, what personal information we handle and why. Holiday Club Finder is the “controller” of that information under UK data protection law. Questions: holidayclubfinder@gmail.com.
The short version
- You don’t need an account, and we don’t ask for your name, your children’s names or your email address to search.
- We don’t take bookings or payments. When you click through to book, you’re on the club’s own site.
- We don’t run adverts and we don’t use tracking or analytics cookies. We do count visits in a simple, anonymous way (see “Anonymous usage counts” below).
- We don’t save your postcode, your children’s ages or any other detail that could identify you or your family.
What we handle, and why
Your search. When you search, you give us a postcode, your children’s ages, dates and a distance. We use these only to show clubs nearby. The ages are used to match clubs and aren’t stored. Your search appears in the web address of the results page, so it also appears in our hosting provider’s standard server logs (see “Who else is involved”). We process this because it’s necessary to run the service you asked for (our legitimate interests under UK GDPR).
Postcode lookups. To work out distances, your postcode is sent from our server to the postcodes.io service, which returns the approximate location of that postcode. Your own device and IP address aren’t sent to it by us.
Server logs. Like every website, our hosting records technical information when you visit: your IP address, the pages requested, your browser type and the time. This is used for security, fixing faults and keeping the site running.
Messages to us. If you email us, we use your email address and message to reply, and keep the conversation for as long as needed to deal with it.
Site administrators. The small number of people who manage listings sign in with an email address and password. This is stored by our database provider and a login cookie is set (see our cookie notice). Visitors never see or need this.
Anonymous usage counts
To understand how the site is used, and to tell clubs how many families look at and click through to them, we record anonymous events in our own database: that a search happened (with the distance chosen, the number of children, the number of dates and how many clubs were found), that a club page was viewed, that the “Book with provider” button was clicked, and which filters were used. Each event is stored with the time and, for club pages and booking clicks, the club and provider involved. We don’t store your IP address, postcode, ages, a cookie or any ID that could link events together or identify you, so we can’t tell who did what or follow anyone from one visit to the next. We do this because it’s in our legitimate interests to run and improve the service. These counts are kept for up to 26 months.
Who else is involved
- Vercel hosts the website and keeps server logs.
- Supabase stores the club listings, the administrator accounts and the anonymous usage counts described above.
- postcodes.io converts postcodes into locations (see above).
- OpenStreetMap supplies the map pictures. We only load them if you switch to Map view. Your browser then requests map tiles directly from the OpenStreetMap Foundation’s servers, so they receive your IP address and browser details, as with any image on any website. See their privacy policy. If you prefer, just stay in List view.
Some of these providers are based outside the UK, so your information may be processed abroad. They use recognised safeguards for this, as UK law requires. We don’t sell your information or use it for advertising.
Links to clubs and providers
Club pages link to each provider’s own website. Once you leave our site, that provider’s privacy policy applies to anything you do there, including booking.
Children
This site is for parents and carers, not children. We don’t knowingly collect information from children, and we never ask for a child’s name or details.
How long we keep things
Hosting logs are kept by our provider for a short, standard period. Administrator accounts are kept while the person still helps run the site. Anonymous usage counts are kept for up to 26 months. We don’t keep a record of what individual visitors searched for.
Your rights
You can ask us what information we hold about you, to correct it, to delete it, to restrict how we use it, or to object to our use of it. Contact holidayclubfinder@gmail.com. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk (helpline 0303 123 1113). We’d appreciate the chance to put things right first.
Changes
If we start using cookie-based analytics, accounts or anything else that changes how we handle your information, we’ll update this page first. The date at the top shows when it last changed.
